Shipping policy

Shipping Policy

1. Scope

This shipping policy applies exclusively to business orders placed directly with Special Sax Distribution (“SSD”), operated by Special Sax, by approved dealers.

Consumers cannot purchase products directly through specialsax.com. For consumer purchases, the supplying dealer’s shipping policy and delivery arrangements apply.

Any separately agreed written supply agreement takes precedence in the event of a conflict, subject to applicable law.

2. Delivery territory

SSD supplies authorised dealers in the Netherlands, Belgium, Luxembourg, Germany, Austria, Switzerland and Italy.

The delivery address and any special shipping requirements must be agreed with SSD before dispatch.

3. Order review and availability

Orders submitted through the dealer portal are purchase requests subject to review by SSD.

An automated acknowledgement does not confirm stock availability, acceptance of the order or a delivery date.

SSD will confirm availability and the expected delivery schedule when reviewing the request. Products that are not in stock may need to be ordered from the manufacturer.

4. Payment and dispatch

Invoices are issued separately through SSD’s invoicing system.

Unless otherwise agreed in writing, goods are dispatched after receipt of the required payment and once the products are available for shipment.

Payment does not mean that an item is immediately available. Any expected lead time will be communicated separately.

5. Shipping and handling charges

Shipping and handling charges are communicated before the dealer commits to the order.

Charges may depend on the destination, number of packages, dimensions, weight and any special transport requirements.

Any additional services requested by the dealer, such as express delivery, are subject to availability and prior agreement on costs.

6. Delivery estimates

Delivery estimates may include time required for manufacturer supply, preparation, international transport and customs clearance.

Unless expressly agreed as binding in writing, delivery dates are estimates.

SSD will inform the dealer of material changes as soon as reasonably practicable. If a delay occurs, we will discuss the expected revised schedule and available options.

7. Carriers and tracking

SSD arranges shipment with a suitable carrier, normally UPS, unless otherwise agreed.

Where tracking is available, tracking details will be provided after dispatch.

Tracking updates are supplied by the carrier and may not appear immediately after a shipping label is created.

8. Delivery details and receipt

Dealers must provide a complete and accurate delivery address, a contact person and any relevant delivery instructions.

Please inform SSD promptly of address changes. Changes requested after dispatch may be subject to carrier restrictions and additional charges, which will be discussed with the dealer.

The dealer must arrange for receipt of the shipment at the agreed address. Costs arising from failed delivery, redirection or return to sender will be assessed according to the circumstances and applicable agreement.

9. Customs and import procedures

Shipments to destinations outside the European Union, including Switzerland, may require customs clearance and may attract import VAT, customs duties and clearance charges.

Responsibility for customs procedures and associated charges will be clarified as part of the order arrangements.

Dealers must provide any business or import information reasonably required for clearance.

10. Partial shipments

Where an order contains products with different availability dates, SSD may propose a partial shipment.

Partial shipments and any additional shipping charges will be agreed with the dealer before dispatch.

11. Transport damage and delivery discrepancies

Please inspect the shipment promptly upon receipt.

Where possible, ask the carrier to record visible damage to the packaging at delivery. Report transport damage, missing items or incorrect products to SSD without unnecessary delay.

Please provide:

  • The order or invoice reference.

  • The tracking number.

  • A description of the issue.

  • Photographs of the packaging, shipping label and affected products, where relevant.

Retain the packaging and affected goods while the issue is being assessed. SSD will coordinate the investigation and discuss an appropriate solution with the dealer.

12. Shipping insurance, transport risk and ownership

All products are shipped with transport insurance. The cost of this insurance is included in the shipping charges.

In the event of loss or transport damage, please contact SSD promptly and retain any relevant packaging and documentation. SSD will coordinate the claim with the carrier or insurer.

Any specific arrangements concerning transport risk and transfer of ownership will be set out in the applicable quotation, order confirmation or supply agreement. Where no specific arrangement has been agreed, these matters are governed by applicable law.

13. Returns

Returns must be arranged in accordance with our Return and Refund Policy.

Please contact SSD before returning any products. The return address may differ from our business address.
